Processing of Transcripts

You all have been very diligent in getting familiar with your to-do lists. Most of your are miffed that even though you sent your transcript(s) weeks ago, the component is not listed as received.
I wanted to let you know that we are nearing the end of processing materials for our 22,000 first-year applicants. Transfers' materials are put on hold(this happens every year), until we complete the first-year intake process. By early next week, you should see your transcripts appearing.

ROLLOVERS: If you are a student who applied in the Spring, and you're applying again, you'll find that your transcripts and supplement are not checked off. You are in the same boat. We have to manually match up your supplement and high school transcript from the old application. There is no need to re-send your hs transcript and testing. Remember it is up to you to send us a new transcript if you were in school during the Fall of 2008.

I hope this clears it up.

Just keep in mind, if you have submitted the Basic application and paid your application fee, we will contact you via email(keep an eye on this and your spam) if something is missing when we go to review your file.

Hi Transfermer!!!

I have a bit of a different question to ask. Is there something like "Days on the Lawn" for transfer applicants who are accepted into the University of Virginia? I know it is a short amount of time between receiving our acceptance and sending in our deposit, but I wasn't totally sure. I am aware that transfers have their own orientation during the summer, so I thought they may have a DOTL too.

Smiles :), I found this site http://www.virginia.edu/orientation/transfer/index.html. It has a lot of info. about the transferring orientation. I couldn't find anything like "Days on the Lawn," but I'm sure Transfermer would know better than I. Either way, very informative site.

Hopefully we get to experience the orientations they talk about. : )

Hi transfermer!! Just wondering as a transfer will our GPA also transfer over? And how does this work if we are applying to graduate school such as medical school? Do they see only UVAs GPA for the applicant or do they also request previous GPA of the previous institutions! Just a question you may be able to answer but I totally understand if you can't! Thanks!

I've looked into the matter, and your GPA will not transfer. Credits will, but you would start with a clean slate, in terms of GPA, for better or worse.

Anon: I was/am having the same problem (I wrote under the name "confused" in a different comment section, because I was indeed confused). It kept telling me to enable my cookies (which I did) but it still would not allow me to access my SIS account. I have a Mac, so I figured that was the problem.

I think the best thing to do in this situation is go to a computer in your school library or computer lab. Most universities have pc's, so you probably have a much larger chance of seeing your information.

Under my To-Do List it still lists to send my Standardized Test Scores, yet I sent those last year when I applied as a senior in high school. Do I need to have College Board resend these?

When i was writing down my information for my SAT test scores on the Common Application i wrote down for my writing score the wrong score on the application, my REAL score is on the official test scores that i have sent to U.Va already. Would this make me look unhonest or interfere with my application or decision in May??


PS. I was in a hurry to send my application, which is why i wrote down the wrong test score on the comm.app

Transfermer-

I was just checking my to do list and for some reason my supplement portion of the application is still on there. I turned it in when I turned in my application and it has a green arrow beside it and it says it has been downloaded. I just didn't know if this took a while to process like the transcripts and stuff. Also, I know we can check the status of our application on the SIS website under the admissions tab...I don't think I have that or I have searched and just can't find it. Let me know if you can help when you can. Thank you!

Please do not send scores again. We are working to match up old information with new information. This process is moving more slowly this year because we’ve moved to a new application system and we’re using the commonapp.

The official scores generate automatically. Don’t worry about it.

We are working on this. Again, the new system has it’s little hiccups here and there.

As you’ll find from the 2008 posts on the blog, the decisions were released on April 30 last year, not “April 20-something.” This early in the process, we can only promise May 1. May 1 it is.

Fellow applicants, you are going to hate me for repeating this again but don't stress about the application! By the end of April, the only thing you will be talking about will final exams! If you are waitlisted, good grades can help your cause!

Yeah, I suspect you're right Chuck. With the switch to the CommonApp though, and significantly more applicants, I feel like there would naturally be more offers, less offers accepted and more waitlisted folk.

Probably not worth worrying about, nothing I can do to change it. :/

Hey Anonymous, I don't know if they require second semester grades for transfers, though they probably factor in if you're waitlisted.

For your reading pleasure, Dean J answered a semi-related question on the regular admission blog in February of last year regarding midyear grades:

Q. Can midyear grades break a decision? I have my lowest GPA(a lot of B's!!), but I am taking my most challenging course load yet. I know midyear grades can help an applicant but can they hurt them too? Sorry these questions must get tedious...just shows how nervous we all are! -Hooareyou

A. Hooareyou, midyear grades can change a decision if they show a dramatic departure from the grades earned in the past. Now, it's normal to see some change in grades when the challenge level goes up in the curriculum, so it's not the end of the world if a few Bs creep into the transcript.

Hey, I'm a freshman at auburn university currently. I got a 4.0 last semester, but only about a 3.4 throughout highschool (it got progressively better each year), how much emphasis will be put on my highschool GPA versus my college GPA?

Will you look at my high school grades and courses or just college?

We look equally at your high school record and your college work if you are applying as a second year student. If you are currently in your second year and are applying as a third year student we look primarily at your college work.

Hello all,

I have an odd question. I hope someone can answer for me. I was checking to make sure my To-Do list was shrinking on my SIS page and I realized that I don't have an Admissions heading on my Student Center page. I read that's where we check our decisions on May 1. Is this the same for everyone else or did I manage to screw something up? Maybe it shows up later?

Good question KJ. We do have a waitlist process and a good handful of students come off of this list, but the number placed on it changes every year.

That leads me to Anon’s question. Spring grades are VERY important. Granted, we won’t have your grades when we make a decision, but good grades can be helpful if you’re on the waitlist and well, not as helpful with your offer if you perform poorly.
Dean J is talking about mid-years from high school.

Nmitch and teapotmonarch, this heading is reserved for Decision Day. It will not appear until that time.

Hey Trans...
They were actually faxed. Also, It is my understanding that U.Va. will waive the SAT requirement automatically for individuals that have been out of HS for more than 5 yrs., which I have. if accepted I would be transfering in as a junior. On my people soft it says that they need for me to submit my SAT or ACT scores. I already submitted documentation to be put with my app. of my communication with the school concerning an SAT waiver where they told me that, its automatic that they waive them. Should I contact them concerning their request for SAT scores or just let them figure it out on there own?
btw: I was home schooled and never took SAT's just went on to VCC.

Also,
Under SAT/HS/College transcripts it says initiated. Does this imply that UVa. has received my documentation and is processing it, or does it mean that they haven't received it at all?
So if Intiated means "you've applied and it's waiting for the component to be processed". I can only assume that this means uva has physically received the documentation but has not gotten around to processing it? Am I correct?

Hi Transfermer,

I am an applicant from California, and granted, I applied to schools within the UC and Cal State System. Recently, I was accepted to a very competitive school, which is great, however, they need me to accept/decline their admission by April 30, which is the day before I find out about Virginia. Virginia being my first choice school, I was wondering if there is any way I could find out about my decision early or if there was a probability that the decision will be posted early.

I dont know if it makes a difference, but I applied to the School of Architecture, which I've heard it has much less applicants.

I'm sort of in the same boat as the person who needs to know before April 30. I applied to Tech and got accepted within 3 weeks of sending in my application, but I can't make any decisions until the first of May (when UVA decisions go out).

MannyfromCali and Anonymous, I think that if I were you two, I would first accept their offer before April 30. Afterwards, if you are accepted to U.Va then send a letter to the institutions where you were accepted and tell them that you will not be attending their institution.

I agree with Chuck. I did the same thing last year; I wasn't sure if I would be able to attend the University I currently am at, so I sent my deposit to the other University until everything was straightened out. All you have to do afterwards is send them a letter informing them you will no longer be attending their University, and make sure you follow up to get your money back (usually you only get half the deposit back, but it's still a good amount of money). Aside from that, the only other inconvenience you'll have to endure is receiving emails from the other University informing you about events at the school or something along those lines, which you can usually unsubscribe to. Hope this helps :)

Really, it doesn't matter whether or not deposits are refundable or not, the fact is that decision for transfer students should come out earlier than what they do. There are decisions to be made (example: I need to take a course in Linear Algebra this summer, possibly Differential Equations as well, and I need to know if I should take it at my current institution's summer session or at UVA). Really, though, these plans can of course be taken care of by the May notification date but it would just be nice to know a little bit earlier. Maybe you can think of it as an idea, perhaps "Rolling Admission," if you will.

Our dates and deadlines have been the same for years. They are posted on the website and in our literature. I'm sorry if it's not the most desired time, but the information on dates is available to you before you oomplete the application.

Most admission deposits are non-refundable. I'd be wary of this.

I will add that new this year, if you are admitted, you'll be able to pay your deposit straight away! Unlike last year, there will be no waiting for the letter/reply form to come in the mail. You couldn't mail your check in until you got this form. This paired with waiting for the check to arrive at our office created anxiety for admitted students. For those who are admitted, it will be instantaneous.

It STILL says on my To Do List that my HS transcript, and both my college transcripts have not been received. I wouldn't say I applied very early, but I didn't apply completely last minute either. I'm probably stressing over nothing but I'm just nervous and eager to see that they've been received/processed. Should I be worried that they haven't shown up yet, or are you still processing lots of transcripts? Thanks!

I'm a latino, male, first generation college student coming from a VA community college applying to SON. I wonder if that helps at all in the admissions process? Since the SON is predominantely caucasian, females. Can anyone answer me those 2 questions?


(I heard from a source that UVA loves minorities, 1st gen, and in state students from comm. colleges...is that true?)

I used to be in leaders club at the YMCA, and we all got nicknames, and mine was teapot (which does not mean I am short and stout :) ). Then I made it into a screen name....Not that interesting. I'm actually not sure why it comes as that name when I post though, because it isn't my email address and that's what I post through.

Chuck, yeah, the first two were the most faithful, but I really liked the cinematography of the third, and absolutely abhorred the fifth film. The trailer for the sixth looks good, so here's to hoping!
Ha, I guess if I don't get in I'll at least have something to look forward to this summer. : )

About the deposit: Hmm..that's weird. I think I got half my money back, but I guess if money is an issue for you, don't bank on getting it back if you have to send your deposit to the other University.

Teapot, I'm totally looking forward to HP TOO!!! I am such a harry potter dork, hahaha. I definitely think the first two were the most faithful, but I really disliked the third one. HBP is my favorite book, so I have a feeling that I may be a bit critical of the movie. Oh, and I am looking forward to Up as well. That movie looks like it's going to be hilarious; right up there with Finding Nemo and The Incredibles (btw, is it true they're going to make a sequel to the Incredibles?)

Transfermer I have a question about financial aid. In the SIS system theres a finances tab. I did my FAFSA and sent in the supplementary info required by UVa, however there is still a financiad aid tab in SIS. Do i have to complete that?

Smiles, the third and fifth were my favorite books, so I was more critical of them (although again, I think Cuaron is an excellent director). I have yet to watch HP5 on DVD because I hated it so much. Sirius is my favorite character, so having his death be so inconsequential (the fight was all of two seconds and blurry) was highly disappointing...that whole scene was disappointing actually. HBP was a great book. I think it's the most humorous of the series.
I haven't heard of the Up movie...I'll have to go look that one up.

I see that decision letters for first year students will be mailed on april 1st, and may 1st for transfer students. Can you tell me why dates are different for first year and transfer? Is it because U.va pick more first year students, and provide left over spots for transfers?

To the Anonymous concerned with financial aid, you should have filled out the financial aid form in SIS.
For the ones worrying about their transcripts, remember that the people in the Office of Undergraduate Admissions will contact you if you are missing anything.
Also, the number of accepted transfer students is NOT related to the number of accepted first-year students.
Honestly, I do not know why the dates differ by a month but remember that we, the transfer students, have our applications reviewed in two months while first-years have their applications reviewed in four months. (I'm assuming that they start reviewing the day after the deadline). And honestly, May 1st is an ideal date for me because it is the last day of final exams.

Haha, Teapot I'm in the same situation. My finals begin on May 1st, and end on the 8th. When I check my decision on the 1st, I'll either have a really good finals week, or feel really depressed throughout my finals.

Also, Transfermer, I know that you said not to worry about the application, and that an e-mail would be sent if there are any missing materials, but I am a little nervous. I submitted my transcripts back in early January and they still are showing up on the To-Do List. I apologize in advance if I am unnecessarily worrying.

You can’t pick classes as a non-matriculated student. I think this feature is just set up for you should you become a student.

Excellent question. Unfortunately, financial aid information does not come until 7-10 days after the decisions are released.

I hope everyone is aware that you’re applying for the Fall. In some rare cases, those of you applying to the Architecture or Education schools might need to take classes in the summer. This will be addressed in your offer letter.

That leads to the next answer. An actual offer letter will most definitely come in the mail. We are not yet that hi-tech and paperless to go without them.

Close to 2300 were received. This is only a slight increase from last year.

I’d be careful to compare yourself to others on this blog. Unfortunately, this bred some nasty exchanges last year.

I think the finances tab is similar to the academics tab that KJ found on his/her page. They are set up for the future. However, I hope that if you’re applying for financial aid, you’ve filled out the FAFSA and the UFAA (University Financial Aid Application). The UFAA is UVA-specific.

The first-year and transfer processes are COMPLETELY and TOTALLY separate. At no time during this process are transfers deemed leftovers. Sorry, Transfermer gets really testy about that label. You’ll see that at many other schools, but review process is separate. Reading transfers is just phase two of our review cycle. We read all of the first-years first. We read all of the transfers afterwards.

I can’t put a date on it. We begin reading transfer applications tomorrow and we’ll continue to read until May 1 as files become complete.

I think I mentioned something about this before, but try not to let the decision date affect your final exams. I think you’d agree with me that you need good grades on your exams for your current school and the school(s) you’re applying to.

Quick question, in reference to SAT req. for transfers. I have been out of HS for more than 5 yrs. I asked you earlier will admissions be able to tell that I qualify for an SAT waiver. To this your response was...

"The SAT/ACT slot will appear for everyone. It will be blank for you, but eventually your application will be read without it."

What did you mean "it will be blank for you" b/c on my People Soft it is still under "to do", nothing is "blank". Just curious what "blank" should look like since it is still coming up.

My apologies CarrJW. It is likely that this function will not go away on your to-do list. The reason for this is that we don’t have a formal waiver to trip the system into removing it from the to-do list. I believe this is the same for SATs that are sent through the high school. The system only picks up on electronically submitted SATs. But know that we’ll take them from the high school.

My final transcript finally came off of my To Do list today, and now I have the Admissions heading at the bottom, with an incomplete status pending my standardized test scores (which I am not even sure that I had to submit considering my length out of HS). Curious, very curious.

My page prob. looks identical to yours. At the bottom of the screen under admissions I am listed as Incomplete due to lack of SAT scores. You do not have to submit SAT/ACT scores if you have been out of HS for more than 5 years, Which I have. What is the 250 dollar fee for that the first year students saw prior to finding out status on People Soft? Will transfers see and have to pay this fee as well??????

Graduated in '99. Applied for junion standing to CAS. Wanted McIntire but was made aware that I would have to complete the foreign language before I could enroll in Commerce classes. If this is now incorrect I will be quite upset. You?

Hi Transfermer,

When I logged on to my People Soft the Admissions tab was posted. I thought we would not see this tab until May 1st. Why is it that it is posting now? Also,
concerning my SAT/ACT scores I had previously explained to you how I did not submit scores b/c I have been out of HS for 5 yrs. I was concerned about the fact that my SAT's were still showing up on my To Do List. To this you answered...

"My apologies CarrJW. It is likely that this function will not go away on your to-do list. The reason for this is that we don’t have a formal waiver to trip the system into removing it from the to-do list. I believe this is the same for SATs that are sent through the high school. The system only picks up on electronically submitted SATs. But know that we’ll take them from the high school."

This is fine however the admissions tab is saying that my application is "incomplete" since you said that there is no way to remove SAT from to do list will my admissions tab always say Incomplete until decision day???

Also, whats going on with that $250 the first years have to pay?? will transfers have to pay this as well?

I have the exact same problem. My application is "incomplete"... should I be worried about this? Do I need to call the Office of Admission? Please advise.

I realize the decisions will be mailed out, but will they also be posted online? Is it on the SIS web page thing that I'll find out? Thanks!
