This is quick reminder for those who were not offered admission for January and would like to try again for Fall 2012. Please email undergradadmission@virginia.edu to let us know. This is not automatic. Please do this by March 1.

-You won't have to pay another application fee
-Please send us a list of your spring 2012 courses and course descriptions
-If you would like to add any new updates or short statements, feel free to include this in the same email
-Most importantly, you should mail us your most recent transcript with your Fall 2011 grades. Again, our mailing address is on the right panel of the front page of this blog.

Test Requirements for Admission

We had a blogpost request for clarification on testing. Oh, by the way, the GAA = Guaranteed Admission Agreement.

-Testing is required for all students applying under the GAA, no matter your age or your time out of high school. If English is your second language, you may substitute the TOEFL or the IELTS for the SAT or ACT. We look for a 90 or above on the TOEFL; a 7.0 and above on the IELTS. We do not have specific requirements for the SAT or ACT, but if Verbal and Writing scores are low - typically, below 500, we may contact you and ask for more proficiency testing.

-If you are applying as a regular transfer without the GAA, testing is required for anyone who has been out of high school for less than five years. If you graduated in 2007, to be on the safe side and to be more competitive, we recommend you report scores. You can submit old test scores as there is no need to take them again.

-If you are applying to the Commerce school... they like to see testing. We sometimes tell students whose first language is not English is that it's advisable to take the TOEFL and the SAT or ACT. They are really big on quantitative(math) skills.

I understand we are very different in our testing requirements for transfers. As a selective institution, we appreciate the information that standardized testing can give us and thus, that's why we require it for most parties applying.

A deeper look into course descriptions

If you are reading this, hopefully you have started working on your application. If you have not, others can tell you that we are looking for some background information and if you're not careful, it will sneak up on you. On the Common App Supplement, you will finda little box that says:

In order for us toperform preliminary evaluations of your coursework, you must email a list ofall of your college coursework (through the current term/semester) AND thecourse catalog description for each course to transferadmission@virginia.edu

It is important for all students to do this, even GAA and/or VCCS students. We have found that this task makes students quite anxious. I can tell you it is a lot easier and faster than any assignment you'll complete at UVA. While it is tedious, it's easy and it will help us to better evaluate your application. It will also help registrars evaluate your credit if you're admitted. Usually students make a word or excel document/table with the information. Here are some examples...

Fall 2011 - SOC 211 - Principles of Anthropology I

Inquires into the origins, development, and diversification of human biology and human cultures. Includes fossil records, physical origins of human development, human population genetics, linguistics, cultures' origins and variation, and historical and contemporary analysis of human societies. Lecture 3 hours per week.

Fall 2011 - HST 111 - Europe and the Mediterranean World to 1500

This survey of major developments in the Mediterranean world begins with the ancient Mesopotamian and Egyptian civilizations, continues through Greece and Rome and concludes at the end of the Medieval Age. The course will cover the rise and decline of civilizations, the transitions of great empires, change versus continuity in economic, political,
social and cultural institutions over time, and interactions and mutual influences among different people.

The easiest way to do this is to simply cut and paste course descriptions from your course catalog. Make sure to tell us if you've taken courses at different universities. It's so easy, you can do it while watching TV or waiting for class to begin!

Spring Transfer Open House

Well, it's that time again for the open house. This semester's event will be on Friday, February 10 at 10AM. If you attended the event in November, there is no need to revisit. Visitors will hear from current students and faculty about the application and transition process to UVA. The day will begin in the Newcomb Hall Ballroom. Please register for the event here . We'll cross our fingers that it doesn't snow that day :)

Let's Talk about the High School Transcript

We noticed that towards the end of our spring semester review, we were requesting/pleading for the high school transcript or GED(yes, we'll accept it) from a lot of students who had done a great job of submitting the application and college transcript(s).

We do require high school transcripts or the GED.

If you're planning on applying for Fall 2012 and you're home for winter break, get a jumpstart on gathering materials and request or collect your transcript from your high school. If you completed a GED, order your official score report now. You can hold onto until you apply or you can send it to us ahead of your application. We'll match things up as we get them. You'll be able to mark it off your list early and not have to worry about it when you're juggling the application process, mid-terms and other things life throws our way. :)

Rollover Process

If you were not admitted for Spring 2012, there is a possibility that you can "roll over" your application for Fall. You found some limited instructions on this in your electronic letter. If you would like to be considered, please email undergradadmission@virginia.edu or send us a letter. Email is faster, so I would recommend going that route. When you write, put the word "rollover" somewhere in the subject line. If you would like to switch schools (Commerce, Engineering, Architecture), please include that wish in your letter as well.

Students who are not eligible for rollover are current juniors attending a four-year university. Unfortunately, these students are no longer eligible for transfer. Please check out the main UVA website for information on our graduate programs.

Decisions will be released around May 1 for any rollover student who added to the Fall process.

**Most importantly, you need to send your updated college transcript including your Fall 2011 grades when they become available. These will be due by March 1, 2012**

Spring 2012 Transfer Decisions

Hi everyone! Sorry to have disappeared for so long. The spring transfer process coupled with early action
for high school applicants is keeping us very busy.

All transfer decisions will be posted online this evening at 5PM EST. Remember that you have to consult your SIS account to get your decision. You'll have information about this in your UVA confirmation email. We will post all decisions online, but we will only be mailing letters to admitted students. A student is either offered or not offered. There is no waitlist process for spring admission.

Do not call the office to ask for your decision. We do not give out decisions over the phone. To get to your account, go here and click on the "SIS Login." If you don't remember your account information, seek out the help information on the left-hand side of that same page.

Transfer Open House

As I mentioned a few weeks ago, we will have an transfer open house on Friday, November 11. We would greatly appreciate if you would register and you can do that here: https://virginia-uga.edu.185r.net/Event/
Make sure you click "Transfer" and that will give you the option to register for the Nov 11 session that starts in Maury Hall, Room 209.

The program will have three parts:
10:00am -10:45am: Transfer Information Session (tentative student panel planned)
10:45am - Noon: Walking Tour of Grounds
12:15pm - 1:00pm: Individual School Sessions

In the individual school sessions, you'll have the ability to visit the Architecture, Engineering, Education and Commerce schools. A session for the College of Arts and Sciences will take place in Maury Hall as well.

We encourage you to have lunch on grounds and visit classes on Thursday afternoon or Friday morning. Check out the Open Class List for a listing of available courses.

More VCCS Visits

We will be attending fairs at various Virginia community colleges and high schools until the end of the month on what's called the Virginia Tour. Please check with your counselors. Some of the NVCC fairs are this week, so keep your eyes peeled. We'll be making non-fair visits during the dates and times below.

Spring Deadline is Approaching

As many of you know, the spring (January admission) deadline is October 1, 2011. Let's go over the basics.

-We only take students in January who are entering the College of Arts and Sciences and the Architectural History program. We want to admit students who truly want to matriculate and graduate from these programs. This is not a back door for the Commerce School, Engineering School and the like.
- The application is online at www.commonapp.org. Yes, there are essays, but I promise you that they are not difficult to answer. Take the time to really think about why you are applying to UVA and go with that.
-In order to do our review, we require the high school transcript/GED, the college transcript and standardized testing (SAT or ACT). For applicants who have been out of high school for more than five years, we will allow you to apply without the SAT or ACT. For applicants whose second language is English, we require the TOEFL exam. The deadline to mail these materials is a postmark deadline.
-UVA is a selective institution. We require these parts in order to admit the most qualified and best prepared students no matter your age or where you are in your education. These requirements are on our website and they were required long before the internet.
-On the right panel of this blog, you'll see tips on the forms offered to you by the common app. We do not require any of these, but see the right panel for more info.
-Unfortunately, we are only able to admit about 10-15% of the students who apply for January. If you don't gain admission at that time, and you are not a college junior at this time, you will likely be eligible to apply again for fall, where we admit 35-40% of applicants.

Representatives from our office will be visiting a small number of community colleges next week. If you are interested in coming to meet with us and discuss the ins and outs of transfer admission, contact your transfer counselor or student/academic services office for details.

The Common Application is Completely Live!

Hello everyone!

I hope you had a safe and happy summer. I want to welcome any new readers to the blog. Thanks for stopping by to see us.

Some of you may have noticed that there was a hang-up with the supplement. That has been fixed and the ENTIRE application is now live. Once again, the deadline for the spring application will now be October 1. We hope to release decisions in mid-late November, but that notification date is tentative.

With the spring process, we only take applications for the College of Arts and Sciences and the Architectural History major. Typically, 300 or students apply and we will make offers to about 40 students. It is very competitive for spring, but if you are not admitted and still eligible for transfer, you may apply for the following fall.

The Transfer Class is Complete

We made our final transfer offers yesterday and with that, the fall process for transfer is complete. I know it has been a long wait. On the bright side, we finished up three weeks earlier than we did last year. Imagine that wait.

Today, we will email all students remaining on the wait list. In an effort to be environmentally friendly, we will not be mailing letters.

I know this may be disappointing news, but hopefully it takes you out of limbo and will allow for clarity going forward. Like I said in a post a couple of weeks ago, soon we'll start looking towards the spring 2012 process.

Thank you for asking great questions, cheering each other on and generally being cool as cucumbers. Believe me when I tell you that those characteristics made it very easy to communicate with you over the course of the year.

Wait List Update #3

We released a few more decisions this afternoon. Some for the College of Arts and Sciences and a few for nursing. At this point, all wait lists are still open, but we are coming towards the end of the wait. Again, I'll let you know when all lists are officially closed.
Later this summer, we'll start the conversation about spring transfer. The (new)October 1 deadline is less than four months away.
P.S. Thank you for your genuine and positive comments these last few weeks. You guys are great.

Wait List Update #2

Adam beat me to it. The time has come. We are making offers from the wait list today. These students will be emailed. We've offered to about 50 students. Most are Virginians because we were lacking in that area. Some from Commerce, but most have come from the College of Arts and Sciences. This is our first "wave" with the wait list. We may offer to more, we may not offer to more. But, I will announce it here when everything is closed. This will likely be at the end of the month, but only time will tell. I'll update when I have more information.

Waiting List Update

Thanks all for being patient. Our staff has been traveling for work and letting the numbers come in and settle. We likely won't move to the waitlist until the end of the month.

Here comes the hard part. Our yield was almost spot on for Commerce, Nursing, and Engineering. This means we won't be making many offers for these schools.

We will be making a good number of offers for the College of Arts and Sciences. The reason for this is that it's our largest school and even though the majority of applicants apply here, the process just allows us room to budge. Remember that the list is not ranked. We will just go in and review these students again from now until probably middle and late June.

Like I said in the past, close to 400 students have elected to stay on the wait list. We will make offers to about 40-50 students, the majority of them coming from the College of Arts and Sciences.

If you are on the waitlist, please, please mail your official final grades when they become available. If you are reading this and you were not offered admission or the waitlist, there is no need to send grades.

I will give you updates when I have new information. Thanks again for being so patient.

Hello Readers,

Now that the dust has settled a bit, I am going to attempt to answer your general questions from the last five days or so. I encourage you do research on the school’s various websites and these will give you answers to more personal questions. Some questions were answered by fellow bloggers. I think giving this post some type of structure will be most helpful to you.

Decisions

If you have a question about your decision, you may call our office. Please know that we do not have an appeals process, but if you would like to know more, it might help you understand the process. It’s just that under no circumstances do we change decisions. The bottom line is that you must remember that this is not a reflection of the person that you are. This is a review of your academic and educational profile, not you in a personal sense.

Wait list

Per usual, most of our phone calls come from waitlisted students.

-You want to know what’s next and how to improve your chances of getting in off the wait list. As I said before, you want to click the button to remain on the list. After you click it once, it should work. The reason why it stays there is in the event that turn down the offer of the waitlist.

-Please send us your final semester grades. If they won’t be released until late in this process, send us your quarter grades or mid-semester grades. You may also send us a continued letter/email of interest written by you, and lastly, you may send an additional letter of recommendation.

-We won’t know how many students we’ll be able to take off the wait list until the deposits are in around May 15^th. I will announce it here when we move to the wait list.

-The wait list is not ranked.

-You likely will not hear from us before you have to deposit elsewhere. Please make sure you have somewhere to go by putting down that deposit.

Deposit

The deposit is due by midnight on May 15. Please disable your pop-up blockers. This should help. The moment you deposit, you will be asked to submit your Final Transcript. If you don’t submit this, your courses won’t be evaluated by your school by the time orientation rolls around, or worse yet, you won’t be able to attend courses in the Fall. There is no one rule about the grades we expect to see after the spring semester, but we would hope that your strong grades would continue this semester. If you receive weak grades, please write to us and let us know. It's better for you to take the initiative in this situation.

You should already have your SIS ID number. It will take 48-72 hours for the deposit to go through the system.

Financial Aid Awards

Student Financial Services started posting preliminary awards yesterday. They will continue to work on these as files become complete. Again, please keep checking your to-do list to see if they need additional paperwork. They tend to ask for a lot, but it's all to get an accurate picture of what we can give you and what you owe.

Stats

You'll find some general stats in the post below this one.

I believe McIntire was slightly less competitive because we had fewer applications, but the admit rate was still 17%.

We do not have Days on the Lawn or Admitted Students Days for transfers. You are welcome to visit keeping in mind that it is time for final exam and the University will be abuzz with studious studiers.

Housing

There are many options for transfer who want to live on-grounds. For more information see the Housing Division’s website here: www.virginia.edu/housing. For those who pay the deposit, you'll soon get an email from the Dean of Students about our specific transfer housing community.

Evaluating Credits

Once you deposit, we'll wait for your final transcript. Transcripts are evaluated by the individual schools. The information will be released in late May, but mostly June. In order to get an idea of what would transfer, please check out the transfer credit analyzer found here.

Orientation

Orientation has a great website with lots and lots of helpful information. www.virginia.edu/orientation

Course Registration

Course registration doesn't technically occur until summer orientation. The schools need time to evaluation your transcripts. Transfers go through this every year. First-year and transfer orientation happens concurrently. It can be slightly bumpy getting into courses during your first semester of transfer, but if you declare a major at orientation/you're an incoming 3rd year, you'll have pull as far as getting in off of waiting lists goes. If you don't get into it the first time around(I'm looking at you 2nd years), the great thing about UVA, is that it will probably be offered again at another time.

Taking Stock

Hello everyone,

I will attempt to answer important questions today and tomorrow. With over 100 comments and normal work that we have to do, this will take some time.

A couple of notes: Please do not email or call the schools or Deans of schools to ask about your application. We handle application questions here in admissions. If there's something we can't answer, we'll check it out for you. If you are not contacting an admissions dean, you are not contacting the right party.

If you have been admitted, please check your SIS To-Do List to make sure all financial aid documents are submitted. It's REALLY important that you get these in ASAP.

All told, this is still a selective process. We are looking to see if you've been successful where you are and if you'll do well here at UVA, be it academically or as a contributor to the community. Of the 2300 that applied, about 400 students are on the wait list. About 31% of all applicants were admitted - that's 36% of Virginians and 24% of non-Virginians.

If you are still interested in us, please make sure you click the button (on your self-service page) that indicates that you want to “remain on the wait list.” If you don’t do this, you will not be reviewed again in the future.

After the deposit deadline of May 15, we’ll begin to look to see how many students we can take off the wait list. This varies from year-to-year and can be a long process. We hope to make our decisions by mid-June, but this is a moving target and I will keep you updated.

Most importantly, we will need to see your Spring 2011 grades in order to make these decisions. Not Offered Admission?

Every year, we create a forum for you to leave your comments in three different places. This streamlines the process in seeing comments and answering questions. Please be respectful of your fellow commenters and UVA. Per usual, I will delete any comments if necessary.

Your status page is self-explanatory. Just below your “letter” are buttons to accept or decline our offer to you. If you accept, you’ll then be instructed to pay the $400 deposit. Clicking only “YES” will not secure your spot in the class. You will need to pay as well. You can pay with a credit card(we don’t accept VISA) or with and e-check. You’ll have until May 15 to put down your deposit. If you decide not to come to UVA, please decline our offer in the same spot. This will help us in our next phase. I will address questions about housing, orientation, financial aid and credit evaluation next week.

Offer letters will go out Monday and Tuesday of next week.

Decisions will be released online on Friday(4/29/11) at 5pm

As you read in my last post, in an effort to be environmentally conscious, we will only be mailing welcome packets to admitted students. Again, everyone should be able to see their decisions online, meaning your online account. We don't email decisions.

The place to go is here where you would next click on SIS Login on the left hand side. Again, using your UVA Computing ID and Password will get you into your self-service account.

If you can't remember this information, please contact our help desk at 4help@virginia.edu. We, in the office of admission cannot help you with this issue. You can also call them at (434) 924-HELP. They are available 24 hours a day.

Regarding Financial Aid: For a few weeks, Student Financial Services has been working with what they've received from all applicants. They plan to release financial aid information beginning Tuesday of next week. Check your to-do lists to see if anything is missing. If there is something amiss, please follow directions to get it to them as soon as possible.

Thank you for bringing up the strange email you may have received yesterday. We got some phone calls about it as well. That email was directed towards first-year students. NEW: We sincerely apologize for the confusion surrounding the initial email. You should receive a follow-up email tomorrow(4/22). Here are the contents of that message:

Dear Student,

Thank you for applying to the University of Virginia as a transfer student. We are quickly approaching the decision release date. In order to access your decision, you will need to be able to log into your Student Self-Service account. If you have not yet logged in or have questions about logging in, please contact the UVA Help Desk in the upcoming days. The Help Desk is available 24 hours a day by calling 434-924-4357. In an effort to be more environmentally friendly, we will only mail welcome packets to admitted students.

If you received an email yesterday suggesting that the May 1^st deadline is approaching for deposit, please disregard that message and accept our apologies for the confusion. That message was designed for our first year applicants whose deposit deadline is approaching, but it seems that some of our transfer applicants may have received the message as well.

After transfer decisions are released, admits will have about two weeks to deposit, and I can guarantee that your deadline, yes, you transfer applicant reading this, will not be May 1st.

Please do not call the office to ask for decisions. We are working so very hard to complete the transfer review by the date we've had posted on our website. If we plan to release decisions earlier than May 1st, you'll find the news here. We are doing the balancing act of reading transfer applicants and working with an expected 7,000 visitors ( Yay for spring break in Virginia high schools and New England) to our office this week, be it prospective and admitted first-year students. I know the wait for decisions is hard, but hold on and May 1st will be here before you know it.

Missing Documents

Remember the times we've talked about, "We'll email you if something we need is missing." Well, this is it. Today, a number of you who applied for Fall will get an important email from our office. We are officially emailing our "Missing Documents" email. Please check your email and check your to-do lists to see what's missing. Please follow the instructions in the email so that we can read a completed application from you.

Change in Spring Transfer Application Deadline

This week, the admissions committee decided to adjust the application schedule for Spring 2012 transfer.

The new deadline to apply is October 1, 2011.
Decisions will be released in Early November, 2011.

As we get more information, I will let you know about this important change.

Your To-Do List

Our file services department is mostly caught up with scanning, processing and filing documents for transfer. That means that if something is missing, it should be on your to-do list. They've passed on the word that if you find that a transcript or application piece is still on your to-do list you, you can contact them at uvaapplicationinfo@virginia.edu. If testing is still on your to-do list, we will read your application without it, but it will stay there and know that this is a requirement for us. It's been printed in our printed material and on our website for ages. As some of you might know, we are more flexible about testing if you've been out of high school for five years or more. The exception is that the Guaranteed Admission Agreement requires testing, no ifs, ands or buts.

But back to the to-do list - If you find that something is still on your to-do list other than testing and you have sent it, please email uvaapplication@virginia.edu with the subject line "Transfer To-D0 List Check" and they will look into it for you. If we don't have it, you'll be instructed on how to get it to us as swiftly as possible.

Fall Transfer Process

It's at this time that the wait really sets in. You've done your part, and now you're waiting for us to do ours. Remember to keep up with your work and continue to do well. The last thing you want to happen is to be so distracted by the admissions process that it affects your grades. That won't help you whether or not you are offered to UVA.

We've received about 2300 applications. Please respect our process and the work that we do. If you did your research, you have found that this is not a rolling admission process and everyone finds out at the same time. At this time, we can only tell you that decisions will be released on May 1. Yes, that's a Sunday, but one never knows. You'll hear it here first if decisions will come out any earlier. We won't know this for a few weeks, thus, there won't be any announcements about a date... for a few weeks.

We started reading transfer applications last week. You may wonder why we didn't start earlier. 1) We did overlap work while we finished up with the first-years and 2) we have to wait for all of your materials to arrive. High school transcripts seem to lag the most.

Our office is working to get out first-year decisions tomorrow and I'll be working with a scholarship weekend night and day through Sunday. I look forward to answering your inquiries next week.

The specific deadline to apply is tonight, March 1 at midnight E.S.T. What’s most important is that you submit the application. Transcripts and supplementary materials don’t have to be here today, but we’d prefer that you have them mailed, ordered, on their way today. This is a reminder for students who were not offered for Spring 2010 and would like to be reconsidered for Fall 2011 transfer admission. Unfortunately, this option is not available to students who are in their 2nd semester, junior year of a bachelors-degree seeking (meaning this rule does not apply to community college students) program. It is the end of the line for you and we would encourage you to check out some of UVA's after you graduate in a year's time.

If you seek to be reconsidered. You must:
1) Tell us. We will not do this for you automatically. Send an email to undergradadmission@virginia.edu and asked to be "Rolled Over" for Fall 2011 review.
2) Send us a transcript that includes your Fall 2010 grades if you were in school at that time (see address on sidebar)
3) Email us a list of your current Spring 2011 courses and course descriptions to undergradadmission@virginia.edu.

Transfer Information Session

We will host our biannual transfer session on Friday, February 18. If you attended the open house in November, this will be a repeat for you and therefore you do not need to attend.

The Transfer Information Session will be at 10AM in the Newcomb Hall Theater. A tour will leave from there at 11am. We hope to have a small current student panel of students who transferred to UVA in the past.

The Common Application is a wonderful one-stop place for you to apply to multiple schools. Because it is a general application, there are some things that we can't control or take down. We are not as strict about the "School Forms" Section you'll find in your app.

4) The instructor recommendation is RECOMMENEDED, but it cannot be sent through CommonApp. This can be printed and given to person giving you a recommendation. They can either mail it or email to our general addresses.

Spring Specifics

We received about 320 applications and 13% of applicants were admitted. The in-state/out-of-state ratio was standard at 2/3rds and 1/3^rd. These are not vacancies that we have to fill, but a yearly infusion of transfers that are factored into to enrollment numbers each year. This means about 40 students were offered admission.

Spring 2011 Transfer Decisions

All transfer decisions will be posted online tomorrow, November 30 at 5PM EST. Letters will only be mailed (December 1) to students who are offered admission. This is a new move for us and the first time we've done it this way. There is no wait-list process for spring admission. An applicant is either offered or not offered. DO NOT CALL THE OFFICE to ask for your decision on November 30. We will be putting on the finishing touches all day long.

You can check your decisions online from this access point. Entering your UVA Computing ID and Password will get you into your self-service account.

I'm told that many students are missing particular transcripts. Your to-do list will tell you which transcripts haven't been matched up to your file. Now, granted if you requested a transcript on Nov 1, it might not be in your file yet. But hopefully, it will find it's way there by the end of this week.

Fall Transfer Open House

We often get questions about specific open houses for those who are interested in transferring. We typically have these twice a year. The first for this school year will be on Friday, November 12. You must register and you can do that here: https://virginia-uga.edu.185r.net/Event/.
Make sure you click "Transfer" and that will give you the option to register for the Nov 12 session that starts in the Newcomb Hall Theater.

The program will have three parts:
10:00am -10:45am: Transfer Information Session (tentative student panel planned)
10:45am - Noon: Walking Tour of Grounds
12:15pm - 1:00pm: Individual School Sessions

In the individual school sessions, you'll have the ability to visit the Architecture, Engineering, Education and Commerce schools. A session for the College of Arts and Sciences will take place in the Newcomb Hall Theater.

We encourage you to have lunch on grounds and visit classes on Thursday afternoon or Friday morning. Check out the Open Class List for a listing of available courses.

The College Officials Report and Secondary School Report are not required. The Instructor Evaluation or a similar recommendation is recommended.

Those of you who are interested in studying business might consider the McIntire School of Commerce. This is a two-year program whether your internal or external (like yourselves). So, if you are looking to come to UVA for your 2nd year of college, you would have to apply to the College of Arts and Sciences as a Pre-Comm student, finish your pre-requisites in your 2nd year here and then apply to the Commerce school. If you are looking to come to UVA for your 3rd year of college, you would apply directly to the Commerce School. The admissions process is competitive, but the administrators at the Commerce school are very approachable and do a great job of informing prospective students about the admissions process. That's why it comes as no surprise that they have launched their own blog. You can find them here and I've listed the blog on one of the menus to the right.

Well, the time has come. A batch of wait list notifications will go out tonight via email. Remember to check the email address you gave us on your application. In due time, your SIS account will reflect this change. Please follow the instructions when it comes to deadlines and procedures. If you are not interested in accepting the offer, let us know. This will help us move along in the process. You will receive a letter in a few days, but you should act upon the offer through your SIS account.

This likely won't be the only day notifications go out, but when we close the wait list at the end of June, everyone will get a letter to say the process is complete.

Waitlist Update

Revisiting the Offer

It has been a crazy couple of days in the office. I promise to get to all of your comments by tomorrow. Here are some topics that seemed to come up a lot in the commentary. Hopefully, most of you have received letters and that should clear up a lot of questions.

Paying your Deposit and Matriculating

You have until May 15th to deposit. Pop-ups have been an issue with payment. Please disable these and you should be set. Once you do this, it takes about 72 hours(and sometimes less) to be fully matriculated. This will allow you to seek out registration for Orientation and Housing.

Financial Aid

There was another cluster of financial aid awards posted yesterday. If you have questions about your package and materials (it does take a few days for Student Financial Services to review the info) you can call them at (434) 982-6000.

Transfer Guide

The College of Arts and Sciences puts out a great guide for new transfers. You can find it here. http://artsandsciences.virginia.edu/college/transfer/index.html

Orientation We do have orientation for transfer students. Most of you will come on July 22 or 23, but Commerce has an extended program that is required if you want to start in the Fall. Those dates are August 18-20.All questions regarding commerce orientation should be directed towards their office. All Orientation questions can be directed towards general Orientation. www.virginia.edu/orientation.

Credit Evaluation

Your school will begin to evaluate credit after you turn in your final grades. That means you need to send them as soon as they become available. This will help you with registering for classes at orientation. As you can imagine this is a long process that probably won’t be completed until the end of June.

As one of your fellow bloggers found, anyone is welcome to sign up for summer classes. There is a specific office devoted to summer coursework. For more info, go to www.virginia.edu/summer

Housing

Financial Aid

Financial aid offers will be posted for offered students on Monday. I'm not sure of the exact time. This can also be found on your student self-service page. Student Financial Services(SFS) has advanced a bit in that they will not send financial aid awards in the mail. You'll only be able to see them or any necessary documents requested online. I understand that they'll mail more information(payment plan, etc) in the summer after you have deposited.

In order to receive financial aid, you must fill out the FAFSA and the University Financial Aid Application(UFAA).

Letters will be mailed as well, but your decision can be viewed on your self-service account. This is not only the place for decisions, but it's where you can view your financial aid award and pay your deposit once you're admitted. Suffice it to say, this is an important place that you should get familiar with before decisions are released. There are a number of the applicants who haven't looked at their account. We sent this email to them yesterday.

Earth Week at UVA

With nail-biting anticipation, we can all feel the anxiety building. May 1 is just around the corner, but until then, I will try and come up with some interesting events going on around Grounds as the semester closes.

For instance, Earth Day is just not enough for us. We are in the midst of Earth WEEK as we get closer to April 22. The University has an entire office devoted to sustainability awareness, be it in the dining halls, recylcing plastics in the residence halls and having more paper conscious offices. The Office of Sustainability is spearheading earth week and there are various mini-events going on in conjunction with it. For more information, check out this link:

To answer some of your other questions, the Guaranteed Agreements only apply to the College of Arts and Sciences and the School of Engineering.

Here's the thing about course descriptions

Just for observation's sake, as we dig in with the transfer applications, we've discovered another reason why we ask you for course descriptions. Many of your colleges do not list Spring 2010 courses on their transcripts. Your current courses are very important because they help us determine how close or far you are from achieving the general ed requirements. If you haven't emailed us yet(especially if your courses are not on your transcript), there's still time. Email catalog descriptions to undergradadmission@virginia.edu

Materials are making their way to your files

You all have been very patient in understanding that materials don't go into your file automatically. We have many diligent employees working to open mail, scan documents, put a name to the document on the system and then link them to your file. You see, everything is electronic. We read your applications on computer screens, like you see in Dean J's post here: http://uvaapplication.blogspot.com/2010/01/feeling-worried.html. So, we have to take the time to make sure everything is complete in it's electronic format before it's "ready to read." That being said, if you ordered your transcript towards the end of February, beginning of March, it came in with hundreds of other documents for your fellow applicants. The good news is (and I spoke to a supervisor in this department yesterday) that the team is almost all caught up on everything that's come into our office. If you know that it's been more than a month since you sent something, you may email our office and we can look into it for you. Please note that such a request will take us 24-72 hours to get back to you. The best email address to use is undergradadmission@virginia.edu. If you got married or divorced at any time in your education career, please alert us to this. Usually, we can pick up on this, but if you it seems to be taking too long for documents to get to your file, that might be the issue.

Spring Decisions

Spring decisions (the REAL ones) should show online at 5pm EST tonight. Letters will be mailed tomorrow.

As you all know, the spring process is much more competitve than the fall process. 15% of the applicants were admitted this year.

If you find that you are not offered admission, and you are a student in your 3rd or 4th semester at a four-year school or in community college, you have the opportunity to apply again for Fall. You should tell us in writing that you want to "roll over" your application for Fall 2010 consideration. There will be instructions on how to do this in your decision letter.

If you did, you will not receive a new SIS email with instructions for your username and password. You'll have to dig up the old email. This will take you to your account where you can check on your materials and your decision come December 1.

If you applied for the first time for Spring 2010 and didn't receive anything regarding the Student Information System, you should call (434) 924-HELP.

High School Transcripts

I might be preaching to the choir here, but please know that high school transcripts are required. We are finding that a number of the applications do not have these. Our processing department is beginning to send emails to request missing parts. Don't forget to check your email using the address you entered into your application.

And remember, your to-do list on SIS will tell you what's missing as well.

Always Keep an Eye on your Email

This is just general advice about checking email. Please make sure you check the address you listed on your application regularly. This is our favorite way of communicating with you. If anything is missing or we have questions about your application, we will email you. Sometimes, we're unlucky and our correspondence goes into your Spambox. Please check that as well. Because we are all operating with such a short time frame, you wouldn't want an email dangling out there in cyberspace.

Spring Application Deadline - November 1!

Reminder! The deadline to apply for Spring transfer is November 1 at 11:59 PM EST!

-We only accept applications for the College of Arts and Sciences and Architectural History in the Spring.

-You must have 24-30 college(not AP, not IB, not Dual Enrollment, not summer courses taken after 2009 HS graduation) credits by the end of this Fall semester in order to be eligible.

-The College Officials Report and Secondary School Report are not required. The Instructor Evaluation or a similar recommendation is recommended.

-Our notification date is December 1.

Transfer Information Session!

As I mentioned in an earlier post, the Office of Admission will be hosting a Transfer Information Session this Wednesday, October 21 at 1pm. A tour will follow at 2pm. The information session will occur in the Newcomb Hall Theater. For directions, go here: www.virginia.edu/undergradadmission/directions.html

This session is optional and one's attendence has no bearing on admission chances. It will give you an overview of UVA and the transfer admission process. In addition, there will be a student panel of various UVA students who have transferred in the past. For some of you, the information session will be a review, but the tour will no doubt be new for you.

If you can't make it to the session (we understand it is in the middle of the week in the middle of the day) stay tuned for details on how you can join our office in an online chat (October 27) for transfers.

Travel Season

Writing the blog is one of my many tasks in the office. In the fall, we travel to recruit students in Virginia and beyond. Some of my colleagues will even be in Europe and Central America this Fall. Unfortunately, this makes it difficult for me to be on the blog at all times. I thank you for your patience and understanding. I think the commentary was getting a little long on the last post, so let’s start anew. I’ve also answered some of your comments here. I hope you'll find the information (from the horse’s mouth) helpful.

-High school transcripts and test scores are kept in our office for two years. Please don’t fret if these things don’t disappear from your to-do list straight away. It takes our staff time to match them to your file.

-The SAT and ACT or TOEFL are listed as requirements on the website. There have been (non-agreement) students who have been offered admission without testing, but like my colleague told you Milton, it is preferred and it is clearly stated on our website. If you are not planning on taking the SAT in October, and you don’t get in for spring, you should seriously consider taking it before March.

-I’d prefer that we not try and pin down where a fellow blogger goes to school or how they’ve come to this place in time. If you find a way to speak to them personally, that’s great, but if not, let's keep it anonymous, with alias' of course :)

-We accept applications from all over the world for spring and fall. Spring is more competitive because there are less spots available in the spring. It is difficult for students to come into a program mid-stream during the school year and the University is not set up to orient hundreds of students in January.

-UVAfan, we prefer that if you are looking to be a nurse, you’ll apply to nursing school. If you’ve changed your mind and now you want to study and graduate from the College, you should fully explain your change of heart in your application. If you have to work to pay for school, you must work. However, the transition (assuming you are waiting for nursing for Fall) will be much easier if you are taking full-time coursework come spring. Fmalik13 is right in his/her post, but this is rare for Nursing. You can go into Business later on in life even if you graduate from a school like the College of Arts and Sciences. It is not exactly the same for the Nursing profession.

-Let’s be clear that Fmalik13 is not an employee, nor affiliated with UVA. We appreciate your insight Fmalik13. When answering, please keep posts short and simple and always state that you are not a employed by the admissions office. Looking to Apply for Spring?

As we in the office begin to plan our recruitment travel for the Fall, so start the inquiries into the Spring Transfer Application process.

-You'll find our application on www.commonapplication.org
-We only accept applications for the College of Arts and Sciences and the Architetural History program for spring.
-You must spend one full year in your college or university before you are eligible to transfer. Therefore, someone in his/her freshman year cannot apply for the 2010 spring semester. You may apply for the Fall 2010.

We'll have an optional Transfer Information Session and Tour on Wednesday, October 21.
There will be a session given by an officer in our office and we hope to have a student panel of current UVA students who once transferred to UVA from other institutions.

So, mark your calendars for 1pm on October 21.

Waitlist

Readers, I told you I would announce it here when the news broke. Like the first-year waitlist, the transfer waitlist has also been released for the Fall 2009. Your SIS status should change today and letters will go out in the next few days.

Looking at the calendar, it has been a long haul, especially for those who looked at UVA long before the March 1 transfer deadline. I will echo the sentiments I shared when the decisions came out in early May -- thank you for your questions, advising and insight during this year's process. What's most impressive is the way you cheered each other on from start to finish. I hope the atmosphere will be similar for the next crop of prospective students and applicants.

Housing

At some colleges and universities, students are required to live on-campus/on-grounds all four years. That is not the case here at UVA. Therefore, just because you are admitted as a transfer student, it doesn't mean that you are guaranteed housing. We've spoken with the housing department since reading the comments on the blog. There is a waiting list every year after housing fills the initial spots available for transfer admits. That being said, the housing department expects to have more than enough space on grounds for all transfer students who wish to live on grounds. It's just that first-year students (those coming straight out of high school) are the priority because that is the only time a student is required to live on grounds.
Housing therefore has to find space for them. I hope that clears up some confusion.

As you can see from a few commenters, we've been making offers from the wait list in a slow and steady stream these past few weeks. Despite the calendar turning over to July 1 tomorrow, we will not close the wait list at that time. Again, I will announce it here when we've completed our review.

We are still working on the wait list. I will announce it on here when we've completed our review. Students have been offered spots to all schools, but obviously the smaller schools have only taken a handful of students. College of Arts and Sciences has taken the largest sum. Again, we're taking 50-100 students. We hope to close the wait list in the next few weeks. We understand it's stressful, but I hope the outcome will be positive for you.

The Waitlist

As you can tell, we have just started moving to the waitlist. You can trust the Joker this time. I’m very impressed with everyone's researching skills on the blog. We were able to move to the waitlist a little earlier than usual, but it will no doubt run through June. I suppose I should have used the word “spurts” as opposed to “batches.” These offers will not all come out at the same time, but I hope to give you a date to let you know that we’ve closed the waitlist – meaning there will be no more offers. We will likely make 50-100 offers.

We would prefer that you not call the office to look for transcripts if you are a waitlisted student. We are currently scanning and linking many of these and as you know, everything takes time. Please allow 14 days from the date of delivery. In all likelihood, it should be here, but if you want to check on it, please email undergradadmission@virginia.edu.

We won’t be sending emails, but like I said, I’ll try and announce it on here once we’ve stopped looking at the waitlist.

Paying your Deposit

The cutoff for paying your deposit is 11:59pm tomorrow. I would not wait until that time. If something goes awry, there will be no one to help you and the gateway will close. Please try and log onto SIS earlier in the day.

Please also keep in the mind that simply clicking the "accept" button does not save a place for you in the Fall. Hitting that button puts you in an "intends to matriculate" limbo. Only when you pay your deposit through UVaQuickPay (aka NelNet) will you become matriculated.

Clearing to-do lists for Admitted Students

We received a lot of emails and phone calls lately about your to-do lists coming up incomplete after you deposited. I think it mostly affected students who did not submit their testing through the College Board. I touched on this a few weeks ago, but the system is only automatically tripped with these official scores. A number of you had your scores listed on your hs transcript and we reviewed your application using this format. Yesterday, our staff went through and began to clear these for admitted students. The process should be completed today.

Make up a name for yourself please. It's difficult to answer questions when there are 100 responses from "anonymous."

It's very simple. Under your comment, go to Choose An Identity. Then click, Name/URL, and enter a name in the box. Then click Publish Your Comment. Voila!

Credit Evaluations

For those who were admitted and plan on putting down a deposit, your credit evaluations will come in due time.

First, you have to complete final exams. Second, you'll have to send in your final transcript. Send this to the Office of Admission. Third, the registrars in their respective schools will work to evaluate this credit.

Evaluations will be issued in late June and early July. If you were admitted to the College of Arts and Sciences, I understand an introductory letter will be going out to you in the next couple of weeks.

The Next Few Steps

I am working on answering the 300+ comments we recieved over the weekend. Please bear with me as I think I will break them up in chunks throughout the course of the week.

Some of you have answered these questions through your own research, but I'll go ahead and reiterate the information.

Lost Username and Password
If you have deleted, lost or forgotten your username and password, you can email uvaapplicationinfo@virginia.edu with the subject line, “Lost Username and Password.” Please do not call the office. Our email administrator is very efficient in handling these requests.

You should all receive your letters early this week. They went out last Friday.

For those who were offered admission, you should find that the deadline to pay your deposit is May 15. As I said before, clicking Accept, but not paying does not save a spot for you. You must pay to secure your spot.

I'm told it take three days for you to become a fully matriculated student. This is why you may find it difficult to sign up for housing or orientation instantly. Please allow at least three business days after you pay your deposit.

If you received an email about a deposit waiver, it was based on information taken from your FAFSA. This was not taken from your checking a box on the Common Application. That was a waiver for the application fee, not the admissions deposit. We scheduled this email to go out just a few minutes after decisions were released. If you paid before you saw this email, please email jvr5d@virginia.edu.

Transfer of Credit
Each school is working feverishly to evaluate the credit from your transcripts. This process will continue through May and June. It should be completed by the time you come to Orientation. For your information, you can also check out the Transfer Credit Anaylzer here http://www.web.virginia.edu/analyzer/ if you want to see what would transfer.

Hi everyone,

I wanted to write you a short note before the decisions come out later today. We in admission would like to thank you for your devoted interest to UVA and specifically to this blog. You are brave in posting your questions and so helpful in aiding newcomers and others who seek wisdom and assistance. I've been pleasantly suprised by it. You've been patient as well! Whenever I got bogged down in the applications and couldn't get to blog, you stood by patiently, waiting for the next update.

All of this being said, I know you are eager to see your admission decisions. No matter what happens, remember that this is not a decision on your value as a person. We seek intellectual and challenged transfer students every year - a hefty chunk at 600-700- but we're unable to offer to all of you. We are so lucky to get every application that we receive.
